Put one actual job in it
Suppose you're fitting shelves for a customer. Make that the project. Add the visit date and a task to confirm the shelf depth. Give the task to yourself or the teammate making the call. You now have a useful plan, even if you haven't touched another setting.
Tasks can stand on their own, too. Add dates, notes and smaller steps where they help. There's no prize for building the world's most elaborate shelving system on day one.
Give the conversation somewhere to live
Keep the customer's contact details and the note from your call with their record. A follow-up gives a loose end a next action. If the shelf depth changes, update the task so the person buying the materials has the current answer.
Messages are useful for the conversation. The project is where the settled plan belongs. That way, next week's work doesn't depend on someone remembering which chat contained the final yes.
Look at the week before you promise Thursday
Use the calendar to see dated work together. Shifts handles the crew's schedule, while booking links let customers choose from the appointment times you offer. Those are different questions: when is the job, who's working, and when can a customer meet you?
A project address can put the job on the map. Turn that view on when places matter to the work. Your design studio probably doesn't need a pin for the kitchen table.
Add a little automagic when it earns its keep
Save familiar work as a template. Put routine dates on a repeat schedule. Add a Flow when a job needs a handoff or approval before the next step can proceed. You choose the rules; people still make the decisions.
Keep the modules you use visible and hide the rest. If you enjoy arranging categories and refining a process, there's room for that. If you just need to finish the job and get home, start there.
Keep the money tools you already trust
BizzyBot can track project expenses, but bookkeeping and payroll belong in the tools built for them. The QuickBooks Online connection lets the owner work with invoice information and send invoices through QuickBooks. Google Calendar is also a separate connection; signing in with Google doesn't connect your calendar by itself.

Do I have to move everything over at once?
No. Start with one project, a customer and the next few dates. You can add the rest when the first bit is useful.
Can I hide tools I do not need?
Yes. Choose the modules you want in Settings. Ordinary projects and tasks do not need a Flow or a complicated setup.
Does a customer need a BizzyBot account to book a time?
No. A customer can use your public booking link. That does not give them access to your internal workspace.
Is BizzyBot making AI decisions about my business?
No. You make the decisions. Bizzy is a fun character who represents the automation working in the background. He's the bot who wants more humans in his life, not more bots. BizzyBot doesn't use generative AI; the automation follows your rules. Trust me, our marketing team was VERY stressed about the potential confusion, but Bizzy really convinced us!
