Build your own comparison in three columns

Write 'must do', 'would be helpful' and 'not needed'. Put the work under those headings: booking a repeat visit, sending a quote, taking a deposit, reassigning a technician, finding the last service note.

Now match those requirements to the actual plan. Ask about extra users, accounting connections, card fees, required add-ons and renewal terms. Save the quote you are comparing, so a temporary promotion doesn't quietly become your long-term budget.

If QuickBooks is part of your process, use the exact connection and plan under consideration. Ask which record is created where, how corrections move and what happens if the connection is interrupted. A logo on an integrations page isn't the whole workflow.

Let the people using it have a turn

The owner may spend ten minutes a day in the office view. A technician may open the mobile view twenty times. Have both try the same job on the devices they'll carry, and note where instructions are needed.

Send a specific support question during the trial, too. You are learning how the product and its support fit your business, not awarding points for the longest feature list.

If your shortlist is really about organizing the work
