The small gap between finished and invoiced

A job can be finished for the crew and unfinished for the person sending the bill. They still need to know which customer, what work and what amount. Starting an invoice from saved work gives that handoff a place to begin.

Open the QuickBooks module to view customers, invoices and payment balances read from QuickBooks. Choose Invoice work to prepare an invoice for a saved project or task. You select the customer and line details; the software does not guess the price of the work.

Review before creating, then choose whether to send

Creating an invoice and sending it are separate actions in BizzyBot. Before the first real invoice, check your QuickBooks company's settings: QuickBooks may automatically email an invoice when it is created. Review the details before creation, and check its status before sending another copy.

  1. Choose the saved work and customer

    Start with a project or task and select the correct QuickBooks customer.

  2. Set the invoice details

    Choose the product or service, quantity, USD unit price, invoice date and due date.

  3. Review and create

    Check the customer, email, line details and total before confirming creation in QuickBooks.

  4. Confirm any separate send

    Review the recipient address and explicitly confirm sending. Check first whether QuickBooks already emailed it.

Let QuickBooks handle the accounting side

Intuit's invoice guide covers its own review, sending and payment options. Online payment methods depend on your QuickBooks setup and can involve separate fees. Use that guide when choosing how customers will pay. (Intuit: create and send an invoice)

BizzyBot's current composer handles non-taxable USD invoices for US QuickBooks companies and USD customers. Complete taxable or more complex invoices directly in QuickBooks. The connection does not add bookkeeping, payroll or inventory management to BizzyBot.

A customer conversation is still a customer conversation

Keep phone numbers, visit notes and follow-ups in BizzyBot's customer records. The QuickBooks panel shows the billing records from your connected company. Those are separate records, so a note about the gate code does not become an accounting entry.

The financial panel belongs to the workspace owner. Teammates can work on the jobs within their permissions without receiving access to the owner's QuickBooks records through this module.

Connect your company in a few deliberate steps

As the owner, add QuickBooks in Settings under Modules. Then open QuickBooks in the navigation and connect your company. You approve access on Intuit's website. An active BizzyBot plan is required to connect and to create or send invoices.

You can disconnect from the QuickBooks panel. That leaves records already created in QuickBooks intact. The privacy page explains the connection information and private invoice records kept in BizzyBot, including what remains after a disconnect.

Questions & answers

Is the QuickBooks module included in the $12 owner plan?

Yes. The BizzyBot module is included. You need your own QuickBooks Online account; its subscription and payment charges are separate.

Can teammates see the QuickBooks panel?

Only the workspace owner can connect QuickBooks and view its financial records through BizzyBot. Teammates work within their assigned permissions elsewhere in the workspace.

Will creating an invoice email my customer?

BizzyBot separates creation from a separately confirmed send, but your QuickBooks company may automatically email newly created invoices. Check those settings before creating one and its status before sending another copy.

Can I create invoices that include sales tax?

The current BizzyBot composer creates non-taxable USD invoices for US QuickBooks companies and USD customers. Complete taxable or more complex invoices directly in QuickBooks.

Does this merge QuickBooks customers into my CRM?

No. The QuickBooks panel reads billing records from QuickBooks. Your BizzyBot customer notes and follow-ups remain separate.

Will disconnecting delete invoices in QuickBooks?

What's the difference between owners, teammates and light users?

Owner: $12/month. The person who runs the business workspace, manages billing and decides who gets access.

Teammates: $6 per person, per month. They create or change projects, tasks, schedules and events, and use the calendars. Their permissions decide what they can change.

Light users: $0 per person, per month. They can view schedules and the jobs they're assigned to in the owner's workspace. People who edit that work need a teammate seat.
