Treat the extra room as a change to the job

Imagine Dana runs a small cleaning business. A Friday customer asks for the spare room too. Dana needs to confirm the extra work, the time and the price before it quietly becomes part of every Friday.

Record the request and the agreed answer with the customer or project. Add any next action, and tell the person doing the visit. Extra room? is a question; spare room included this Friday only is a usable instruction.

Repeat the routine without hiding the exceptions

Use recurring calendar dates for familiar visits and weekly shift templates for the crew. Adjust the week for time off, one-off jobs and the work actually agreed with each customer.

A repeating date does not create a fresh project checklist by itself. Use a project template for familiar job steps, then check the instructions for the current visit.

Make first-visit notes worth reading

Record the scope, access arrangements and any agreed product requirements. Keep the notes short enough that the cleaner can use them before starting. If something changes, replace the old instruction rather than leaving two versions side by side.

NIOSH and OSHA distinguish cleaners, sanitizers and disinfectants by their purpose and warn that a green label alone does not establish that a chemical is safe. Their guidance calls for hazard information and appropriate worker training. A customer note is not a substitute for either. (NIOSH and OSHA: protecting workers who use cleaning chemicals)

Check the requirements for your actual service

The SBA says licensing requirements depend on the activity and location. Check the government rules for the services you provide, alongside any separate insurer or client requirements. A commercial contract can ask for something different from a regular house clean. (SBA: check licenses and permits for your activity and location)

Once a requirement is confirmed, give its preparation and review date a place on the calendar. BizzyBot does not determine which licenses or training your business needs.

Keep the conversation attached to the customer

Customer notes and follow-ups help with the next call. A booking link can offer appointment times; a form can collect details for review. Use a Flow when a change needs an explicit internal decision.

Keep prices, bookkeeping and payroll in the tools you use for those jobs. BizzyBot will not find cleaning contracts or calculate the right price for an extra room. It gives the work and the people a shared plan.

Questions & answers

Can I plan more than one cleaning crew?

Yes. Use groups and schedules in Shifts, and assign project work to the relevant people.

Does a recurring visit automatically create a new checklist?

No. A recurring calendar item repeats its date. Use a project template when you want to reuse the steps of a job.

Can customers send instructions through a form?

Yes. Review the response and put the confirmed instruction with the customer or job. Do not assume a submitted request has already been approved.

What does it cost for cleaners who only check their jobs?

Light users can view schedules and assigned jobs for $0. The owner is $12/month, and editing teammates are $6 each per month.

What's the difference between owners, teammates and light users?

Owner: $12/month. The person who runs the business workspace, manages billing and decides who gets access.

Teammates: $6 per person, per month. They create or change projects, tasks, schedules and events, and use the calendars. Their permissions decide what they can change.

Light users: $0 per person, per month. They can view schedules and the jobs they're assigned to in the owner's workspace. People who edit that work need a teammate seat.
